Privacy Master Agreement (PIPEDA & GDPR)

1. Data Controller Overview

Zacharias Home Decor Ltd., operating out of Swift Current, SK ("Data Controller"), respects your privacy and is committed to protecting your personal data. This policy outlines our compliance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and the EU General Data Protection Regulation (GDPR) concerning our B2B logistics routing system.

2. The Data We Collect

For the execution of our Order Management System (OMS) and email infrastructure, we collect and process the following telemetry and personal data:

  • Identity & Contact Data: Names, email addresses, and local delivery addresses (for Swift Current dispatch).
  • Technical & Log Data: IP addresses, browser types, SMTP response codes, delivery timestamps, and Cryptographic message IDs.
  • Consent Records: Timestamps, IP addresses, and exact form locations proving Opt-In consent.

3. Purpose of Processing (Legal Basis)

Data processing is strictly limited to:

A. Contractual Necessity (Tier 1 & Tier 2 Traffic): To fulfill e-commerce purchases, dispatch local couriers, and deliver legally required payment receipts.

B. Explicit Consent (Tier 3 Traffic): For newsletter distribution, handled exclusively via Double Opt-In mechanism validated by our API.

4. Data Retention & Third-Party Processors

We do not sell personal data. We utilize enterprise-grade sub-processors (such as Mailgun Technologies) exclusively for SMTP relay services. Transactional logs and delivery metadata are retained in an immutable state for 90 days to comply with financial auditing and deliverability diagnostics, after which they are automatically purged.
